EPFO Simplifies Aadhaar Seeding & Correction: What Members Need to Know?
For the benefit of its members, the Employees’ Provident Fund Organisation (EPFO) has simplified the joint declaration functionality. In a circular dated August 13, 2025, EPFO stated that the current Joint Declaration feature has been considerably simplified to assist members who have not yet seeded or verified their Aadhaar or who need to update their Aadhaar in their UAN. In this article, we provide an overview of the procedure shared by EPFO.
What to do if your Aadhaar and UAN don’t match?
Through the Joint Declaration (JD) functionality, the employer can request that any fields about the members’ name, gender, and date of birth that do not match between their Aadhaar and UAN be corrected.
What to do if an incorrect Aadhaar is connected to your UAN?
The employer can now enter the correct Aadhaar in the online Joint Declaration (JD) functionality and transmit it to the relevant RO for approval in circumstances when the incorrect Aadhaar has been mistakenly associated with the UAN.
How to proceed if the employer is unavailable?
The member may still submit a physical JD that has been properly attested by any of the authorities authorised to certify the claim to the Public Relations Officer (PRO) Counter in the relevant Regional Office, with appropriate acknowledgement if the employer is unavailable or the establishment is closed. Following appropriate verification, the PRO will input the information into the JD feature and submit the request for additional office processing. The circular states that all requests involving the seeding or correction of Aadhaar in the JD functionality must be thoroughly reviewed and approved by the Assistant Provident Fund Commissioner (APFC).
How to proceed when all Aadhaar and UAN information match?
When a member’s name, gender, and date of birth exactly match those in Aadhaar, they can approach their employer, who can use the Employer Portal’s KYC feature to seed Aadhaar with the member’s UAN. EPFO does not need to provide any kind of independent approval.
