Candidates who are seeking jobs will search for various job openings and apply for them. Interviews are a scary process for both employers and employees. No one knows what is going to happen during the interview process but the candidates get some clue about the result beforehand seeing the response of the employers. Although most recruiters get away with their universal phrase ‘we will get back to you’, candidates might understand that the damage is already done. However, going through various unsuccessful interviews, candidates express their dissatisfaction over the response of the employees. This has definitely turned the table and has created a new freedom for recruiters to provide the most genuine and real interview result, be it selected or not.

Need for feedback

We all talk about the right to information but job-seeking candidates do not get to experience their rights in terms of an interview. People attend hundreds of interviews and get responses from only a few. Other companies act as if they have forgotten that the interview happened. This particular behaviour triggers negative emotions in people. Be it positive or negative, companies must make sure they inform the candidates beforehand so that they can apply for other jobs. Otherwise, the candidates will be waiting for their response and wasting their precious time in the hope that they might get selected. Thus, it is important to choose and recruit candidates successfully so that there is no room for confusion.

Evaluation of candidates in the interview

A candidate’s capability does not prove that they are best suited for the job. Companies have to consider other things like educational background, previous work experience, technical skills, leadership quality, body language, communication skills, problem-solving skills or critical thinking, and overall attitude during the interview. Now, when a person is selected for a particular job, recruiters must be responsible for providing feedback and informing the interview result.

A follow-up email containing feedback regarding the interview is well appreciated by the candidates. This basically shows that the company is interested in the profile and is willing to go ahead to the next step. Even if the candidate is not selected, it is still a good gesture to send positive thoughts that make people gracefully accept the fact that they are not selected and also motivate them to improve and try harder. For companies, it is better to create this impression, as there are high chances for the candidate to be selected again in the future for the same or a different role that suits them.

Sending an email to successful candidates

Through a thoroughly crafted email, companies can let candidates know they are ready to move on to the next stage of their application. It is also important to mention that the candidate has been selected and can start work on the agreed-upon date. The email should also contain how the management is satisfied with their performance in the interview and is ready to appoint them for the respective position. Along with this, the mail should also share the joining formality with the candidates. Here are some of the crucial points that have to be added to the email;

  • Thanking and appreciating the candidate for their interest and time to attend the interview.
  • Including the skills and experience that made them top candidates for the role.
  • I am attaching the job offer along with the mail.
  • Ask the candidate to reply to the job offer so that the company can arrange things accordingly.

The feedback provided by the HR recruiter will be a big boost to the candidates. It allows them to improve their areas of weakness and turn them into strengths to perform better the next time. Once they are selected for the interview, the next step will be to join and perform the job as expected.

Tips to send a crisp and relevant email

  • The text should not be too long. It should be a sentence or two, but not more than that.
  • Thank the candidate for their time in the mail.
  • The email should be highly professional. Even for rejection, candidates should be informed politely and kindly.
  • When a candidate is selected, inform them about the next process or joining date so that they can plan accordingly.
  • Add contact details so that the interview candidate can contact you in case of any queries.
  • Make sure to add the correct position for the respective candidates. Any kind of error will not look good in the eyes of candidates.
  • End the mail on a positive and motivating note.
  • Ask the candidate to acknowledge the mail and confirm the offer. Through this, companies will know that the candidate is still interested and ready to join.

Sending a follow-up or positive interview feedback email is extremely crucial for candidates who are in dire need of a job. This can also be a big career break for the candidates and help them reach out to the best companies for the job that they always wanted. Ensure that you send motivating and highly inspiring words so that people feel happy and content about the company and also perform their best in their work.
